1. Information We Collect
Information you provide to us
- Registration information. When you create an account, we collect your name, email address, and password, and optionally a phone number. If you sign in with a third-party provider (such as Google), we receive your name, email address, and profile picture from that provider.
- Recordings and uploaded content.When you use the Services, you provide voice recordings, audio files, transcripts, notes, and any other content you create or upload (“User Content”). This content may contain the Personal Information of third parties.
- Speaker identification information. To recognize and label speakers, the Services generate voice characteristics (voiceprints / voice embeddings) from your recordings, which we use to tag speakers within your transcripts.
- Payment information. If you purchase a paid plan, our payment provider and Merchant of Record, Paddle, collects your billing details and payment method. Full payment-card details are handled by Paddle and are not stored by us.
- Communications. When you contact us for support, you provide your email address and the contents of your message.
Information we collect automatically
- Usage information. Timestamps and events such as when you record, create, edit, share, or delete content, and how you interact with features of the Services.
- Device information. Your IP address, device and browser type, operating system, and unique device or user identifiers.
- Cookies and similar technologies.See “Cookies and Similar Technologies” below.
- Approximate location. We may infer your approximate location from your IP address.
Aggregated and de-identified data
We also create and use de-identified or aggregated data that does not directly or indirectly identify you. We maintain such data in de-identified form and do not attempt to re-identify it.
2. How We Use Your Information
We use the information we collect to:
- create and manage your account and authenticate you;
- provide the core Services — store your recordings, transcribe them, identify speakers, generate summaries and titles, and answer your questions about your content using AI;
- process payments and manage subscriptions;
- operate, secure, maintain, and improve the Services;
- communicate with you about the Services, respond to your requests, and provide customer support;
- send you service and, where permitted, product update messages (you can opt out of non-essential communications);
- detect, prevent, and address fraud, abuse, security, or technical issues; and
- comply with our legal obligations and enforce our Terms.
We process your Personal Information where doing so is necessary to provide the Services you request, where you have given consent, where we have a legitimate interest that is not overridden by your rights, or where we are required to by law.
3. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Services, and understand how the Services are used. Strictly necessary cookies are required for the Services to function (for example, login and authentication). You can block or delete cookies through your browser settings, but some features may not work if you block strictly necessary cookies.
4. How We Share Your Information
We do not sell your Personal Information. We share it only in the following circumstances:
- Service providers. With vendors who process data on our behalf to operate the Services (see Section 5).
- Other users. Where you choose to share notes or recordings, the recipients you select can access that content.
- Payment processors. To process your subscription payments.
- Legal and safety. Where we believe disclosure is reasonably necessary to comply with a law, regulation, legal process, or governmental request; to enforce our Terms; or to protect the rights, property, or safety of Remindr, our users, or the public.
- Corporate transactions. In connection with a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction.
5. Third-Party Service Providers
We rely on a small number of trusted providers to deliver the Services. Each processes only the data needed for its function and is bound by confidentiality and data-protection obligations. They include providers for:
- Authentication and database hosting — to manage your account and securely store your notes and metadata.
- Cloud object storage — to store your uploaded audio recordings.
- Speech-to-text and diarization — to transcribe recordings and separate speakers.
- Artificial-intelligence providers — to clean transcripts, generate summaries and titles, and power the chat assistant.
- Product analytics — PostHog. We use PostHog to understand how the Services are used (such as feature usage and product events) so we can improve them. PostHog may process usage and device information.
- Error and performance monitoring — Sentry. We use Sentry to detect, diagnose, and fix crashes and errors. Sentry may process device information, diagnostic data, and limited technical details about the events that led to an error.
- Payments — Paddle. We use Paddle as our payment provider and Merchant of Record to process subscription payments and handle billing and taxes. Paddle collects and processes your billing and payment details in accordance with its own privacy policy.
These providers are not permitted to use your User Content for their own purposes. Their handling of your data is governed by their respective privacy policies, which we encourage you to review.
6. AI and Machine Learning
The Services use automated speech recognition and artificial-intelligence models to transcribe your recordings and generate summaries, titles, and chat responses. We may use de-identified and aggregated data to operate, evaluate, and improve the Services. We do not use the content of your private recordings or transcripts to train generally available AI models in a way that identifies you, except with your consent or as otherwise described in this Policy.
7. How Long We Keep Your Information
We retain your Personal Information for as long as your account is active or as needed to provide the Services, and thereafter as required to comply with our legal obligations, resolve disputes, and enforce our agreements. When you delete content or your account, we delete or de-identify the associated Personal Information within a reasonable period, subject to routine backups and any retention required by law.
8. Your Rights
Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you have rights in relation to your Personal Information, including the right to:
- access the Personal Information we hold about you;
- correct inaccurate or incomplete information;
- request deletion of your Personal Information;
- withdraw consent where processing is based on consent; and
- nominate another individual to exercise your rights in the event of death or incapacity, where the law provides for it.
You can exercise many of these rights directly in your account settings. To make any other request, or to raise a grievance, contact us at privacy@tryremindr.app. We may need to verify your identity before acting on a request and may decline where the law permits.
9. Data Security
We implement physical, administrative, and technical safeguards designed to protect your Personal Information against loss, misuse, and unauthorized access, disclosure, alteration, and destruction, including encryption in transit and access controls. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
10. Cross-Border Data Transfers
We and our service providers may store and process your Personal Information in countries other than the one in which you reside, including the United States. Where we transfer Personal Information across borders, we take steps to ensure an appropriate level of protection consistent with applicable law.
11. Children
The Services are not directed to children under 13, and we do not knowingly collect Personal Information from them. If you believe a child has provided us with Personal Information, please contact us and we will take steps to delete it.
12. Changes to This Policy
We may update this Policy from time to time. When we do, we will post the updated Policy on this page and revise the effective date above. Material changes will be communicated through the Services or by other reasonable means. Please review this page periodically.
